Hiring Event Security in London: A Checklist

Booking security goes faster and more smoothly when you have the right details ready. Use this checklist before you request quotes, when comparing providers and in the days before your event.

Updated

Before you ask for a quote

  • Event date, start and finish times, plus any set-up and close-down time that needs cover.
  • Venue address, and the name of the venue contact if it is not yours.
  • Expected attendance and the venue’s maximum capacity.
  • Type of event and audience: private, corporate, public, ticketed, sporting or music.
  • Whether alcohol will be served and whether there is a premises licence or temporary event notice, with any security conditions.
  • Number of entrances and exits, and whether bags or people will be searched.
  • Any specific concerns: VIP guests, valuable equipment, age restrictions or past incidents.

Questions to ask a security provider

  • Will every operative hold a valid SIA licence for the role, and can you have their licence details in advance?
  • Are the operatives first aid trained?
  • How many staff do they recommend, and where would each person be positioned?
  • Who is the main contact before and during the event?
  • How will the team be briefed on your venue, policies and emergency procedures?
  • What does the quotation include, and what are the minimum hours, payment and cancellation terms?

What to agree in writing

  • Dates, hours, number and type of operatives, and the agreed price.
  • Duties: entry, searching, ID checks, patrols, cloakroom or crowd management.
  • Your policies on refusals, searches, age checks and ejections.
  • How incidents are recorded and reported back to you.
  • Arrangements for breaks, dress code and any equipment such as radios.

In the days before the event

  • Share the site plan, running order and emergency procedures.
  • Confirm arrival time, meeting point and the on-site contact for both sides.
  • Tell the provider about any changes to timings or numbers as early as possible.
  • Plan a short briefing when the team arrives, and a quick debrief at the end.
